A useful waste disposal quotation starts with a clear description of the waste and how it will be collected. SMV's scheduled waste assessment form asks for the waste source, composition, quantity, packaging and collection location, together with any available supporting documents. Use this checklist to prepare your request.

1. Describe the waste and where it comes from

Provide the waste name and the process that generates it, such as equipment maintenance, production cleaning or wastewater treatment. Say whether it is solid, liquid or a mixture, and list the components you know. Include the waste code if you already have it; if you are unsure, explain the source rather than guessing.

2. Give the quantity and collection frequency

State how much is ready for collection now and how much you expect to generate each month. Include the unit: kilograms, metric tonnes (MT), litres or number of containers. Identify estimates clearly. Container count alone does not show the weight or volume of waste inside.

3. Explain the packaging and site access

List the packaging type, container size, number of containers and whether they are full or partly filled. Examples include drums, IBC tanks, bags or pallets. Add the collection address and explain loading access, available handling equipment and any restrictions on collection times.

4. Share photos and available documents

The SMV assessment form accepts waste photos, laboratory analysis reports and material safety data sheets. Clear photos of the waste, packaging and labels help explain the request. If a document is unavailable, say so. A safety data sheet for the original product may be useful background, but it may not describe waste that has changed during processing.

Read our guide to laboratory testing for waste evaluation if the composition is unclear. SMV can review the available information and advise what further details are needed before a quotation can be confirmed.

5. Include the contact person and timing

Provide your company name, contact person, email and telephone number. State your preferred collection date, whether the request is a one-off collection or recurring service, and any site induction or appointment requirements.

A practical example

Illustrative request — not a customer case study

“We have eight 200-litre drums of liquid residue from production cleaning at our Puchong site. Six are full and two are partly filled. The quantity is estimated; the weight has not yet been measured. We generate about four drums per month. Photos and the original product safety data sheet are available, but we do not have a laboratory report. Please advise what additional information you need and whether collection can be arranged next week.”

This gives a clearer starting point than “How much to collect eight drums?” The waste identity, actual quantity, packaging and access details still need review before pricing and collection arrangements are confirmed.

Common questions

Can I request a quotation without a waste code?
Start by explaining the process and materials involved. Tell SMV that the code is unconfirmed so it can be reviewed.

Do I need a laboratory report for every request?
Share one if available. Whether further analysis is needed depends on the waste and the information already supplied.

Can you quote from photos alone?
Photos help, but they do not establish composition or weight. Include the source, quantity, packaging and collection address as well.
